This policy explains what personal data Venox Technologies ("Venox", "we", "us") collects through venoxtechnologies.com (the "Site"), why we collect it, and how it's handled. It applies to visitors, contacts, and prospective clients — not to employees or contractors, who are covered separately.

1. Information we collect

We only collect what's needed to respond to you or operate the Site:

  • Contact form: name, email, phone number, and the message you submit.
  • Newsletter signup: your email address.
  • AI assistant (chat widget): the messages you send and, if you ask us to follow up, the name, email, and project details you provide so we can create an enquiry for our team.
  • Automatically collected: basic technical data any web server logs (IP address, browser type, pages visited) for security and troubleshooting.

We do not currently use advertising or behavioral-tracking cookies. If that changes, we'll update this policy and this section first.

2. How we use it

  • To respond to enquiries submitted via the contact form or AI assistant.
  • To send newsletter updates to subscribers, and let you unsubscribe at any time.
  • To improve the Site and the accuracy of the AI assistant's answers.
  • To meet legal, security, or fraud-prevention obligations.

We don't sell your personal data, and we don't use it for third-party advertising.

3. Who we share it with

We share data only with service providers who help us run the Site and Services, under their own privacy and security commitments:

  • Email delivery (SendGrid) — to send contact-form notifications and newsletter emails.
  • AI infrastructure (Anthropic) — chat messages you send the assistant are processed by Anthropic's API to generate a reply.
  • Image hosting (Cloudinary) — for images displayed on the Site.
  • Hosting and database providers — to run the Site and store submitted data.

Some of these providers may process data outside India. We only use providers that are contractually bound to protect your data appropriately.

4. Data retention

We keep contact-form submissions and newsletter emails for as long as needed to respond to you or while you remain subscribed, and delete or anonymize them when no longer needed unless we're required to keep them longer by law.

5. Your rights

Under India's Digital Personal Data Protection Act, 2023, and similar laws, you can ask us to access, correct, or delete the personal data we hold about you, or withdraw consent (e.g. unsubscribe from the newsletter). To do so, email info@venoxtechnologies.com.

6. Security

We use reasonable technical and organizational measures to protect the data we hold, including access controls and encrypted connections. No method of transmission or storage is 100% secure, so we can't guarantee absolute security.

7. Children's privacy

The Site isn't directed at children, and we don't knowingly collect personal data from anyone under 18.

8. Changes to this policy

We may update this policy as our practices change. The "Last updated" date above reflects the most recent revision.
